Registration for the symposium and booking of the stay

First, all foreign participants, i.e., from outside Cuba, will register for the symposium through the OTTIAQ Portal. OTTIAQ members can access the Portal using their credentials. All other participants must first create an account on the Portal, then contact the OTTIAQ (at info@ottiaq.org) to be invited to register according to their category (FIT Member, Non-member or Student). They will then be able to access the symposium event in the portal and proceed with registration and secure payment.

The symposium registration fees are calculated in euros (EUR), but the amount is converted into Canadian dollars (CAD) in the OTTIAQ Portal. The exchange rate is set at CAD 1.50 based on the Bank of Canada’s average rate for the month of August 2024.

Fees cover participation in all sessions, symposium documentation and a certificate of participation.

Once the registration process is complete, participants will receive a confirmation email from the OTTIAQ that will indicate the steps to follow, namely, to download the hotel and transfer reservation form.

The Gira Group will manage the booking of the accommodation at the Hotel Grand Memories Varadero. Thus, participants will return the completed form by email directly to Gira (to simposioacti.ottiaq2024@gmail.com), no later than November 5, 2024, ideally, to facilitate the reservation of hotel rooms and transfers. Please note that it will still be possible to book after this date, depending on availability. 

The following rates are offered to participants of the Cuba-Quebec symposium for the stay at the Grand Memories Hotel, in an all-inclusive package:

• Double occupancy room – 2 people: €116 per night (€58 per person)
• Single occupancy room – 1 person: €83 per night

You can book transfers from Varadero or Havana airports, or from a hotel in Havana (if you arrive a few days earlier in Cuba, for example) to get to the Grand Memories for the symposium. It is also possible to book round-trip transportation or combine these options according to your flight itineraries and travel plans in Cuba before or after the symposium. 

The Gira Group set the following preferential rates for symposium participants: 

• Transfer from Varadero airport to the hotel in Varadero (or return): €40 each way (€80 round trip), per taxi (maximum 2 people).

• Transfer from Havana airport to the hotel in Varadero (or return): €144 each way (€288 round trip), per taxi (2 people maximum). 

• Transfer from a hotel in Havana to the hotel in Varadero (or return): €135 each way (€270 round trip), per taxi (2 people maximum).

Other more economical transfer options by tourist coach may be arranged depending on availability, arrival or departure of several participants at the same time, etc.
